Field Service Automation

Still Paying Admin Staff to Do
What Your Software
Should Handle?

We build automations that plug directly into simPRO and ServiceM8. Your jobs get dispatched, your techs submit reports by voice, and your quotes follow themselves up. No extra staff. No new software to learn.

We take on a limited number of projects each month to keep the quality of every build high.

Why Us

Built by People Who Have Sat in the Chaos.

Most automation consultants come from software backgrounds. They understand systems but they have never managed a dispatch board during a Monday morning blowout, dealt with a tech who submitted blank job notes at 5 PM, or chased a quote that went cold while the office was buried in bookings. Our team comes from operations. We know what breaks first, why it breaks, and how to fix it in a way your team will actually use.

The Problem

Good Software Does Not Fix a Broken Process.

Most trade businesses we talk to have the same setup. They bought simPRO or ServiceM8, got it configured, and six months later the office is still drowning. Someone is still manually entering jobs. Techs are still sending one-line notes. Quotes are still going cold. The software is fine. The gap between what it stores and what your business needs to actually do next is where the problem lives.

01
Every booking still needs a person to action it.

A job request lands in the inbox at 7 AM. Someone reads it, creates the job in the system, finds an available tech, and assigns it. By 9 AM they have done that six times and have not touched anything else. That is not admin work. That is a bottleneck.

02
Your techs are great on the tools. Not so great on the paperwork.

End of a long day, last thing anyone wants to do is write a detailed site report. So they do not. You get job complete and a blank notes field. Your admin chases them the next morning, pulls the details out, writes it up, then finally invoices. Three people touched a job that should have closed itself.

03
Quoted jobs disappear and nobody follows up.

A $6,000 installation quote goes out on a Tuesday. No response by Friday. Someone meant to follow up but the week got away from them. Two weeks later the customer has already gone with another tradie. That quote was not lost because your price was wrong. It was lost because nobody followed up in time.

What We Build

Three Automations We Build for Trade Businesses First.

Not off-the-shelf tools. Not generic chatbots. Workflows built inside the systems your team already logs into every day.

SOLUTION 01
Emergency Job Intake

Right now if an urgent call comes in outside business hours, it sits in your inbox until someone gets to work. Our intake automation reads the request, checks who is available in your scheduling software, and creates a draft job ready to assign. By the time your office opens, the job is already in the system waiting for approval. Not sitting in an email thread.

SOLUTION 02
Voice-to-Report

Your tech finishes a job at a site. Instead of typing up a report, they send a 30-second WhatsApp voice message explaining what they did. Our system transcribes it, formats it into a proper job report, and pushes it straight into simPRO or ServiceM8. Invoice goes out the same day. Nobody typed a word.

SOLUTION 03
Quote Follow-Up

Three days after a quote goes out with no reply, the system sends a follow-up from your email address. It sounds like you wrote it. If the customer replies, their response gets sorted automatically. Ready to book, wants to negotiate, needs a call. Your office only touches the ones that actually need a conversation.

How It Works

How a Project Actually Runs.

Four phases. No surprises. You know what happens at each stage before we start.

01
Operations Audit
We sit down with you and map out how work actually moves through your business. Jobs coming in, how they get assigned, what your techs do in the field, how reports and invoices go out. By the end we know exactly where the hours are going and what is worth automating first.
02
System Design
Before we build anything, we design how the automation will sit inside your existing tools. No new software. No migration. We work out the logic, the triggers, and the handoffs so the build has no surprises.
03
Build and Go Live
We build the workflows, test them against real jobs, and run them in parallel with your current process until everything checks out. Most clients are fully live within two weeks.
04
Handover and Support
Your team gets a walkthrough of everything that was built and why. We document it so anyone can understand what runs and how. After that we stay on to monitor, fix edge cases, and adjust as your operations change.
Right Fit

Is this the right fit?

We work with field service businesses running between 5 and 50 techs in the field. Plumbers, electricians, HVAC operators, pest control, cleaning and facilities crews. The common thread is the same across all of them: good software, good team, but the admin layer in between is still manual and still costing hours every week.

This is not for businesses looking for marketing or lead generation help. We work on operations only.

5 to 50 field techs
Large enough to have real operational drag. Small enough that every efficiency gain is felt immediately.
Already running simPRO or ServiceM8
We build inside your existing stack. No migration. No new tools for your team to learn.
The manual work is visible and costing you
You can point to the exact process that eats time every day. That is what we automate first.

FAQ

A few things worth knowing before you get in touch.

No. Everything we build runs inside what you already use. simPRO and ServiceM8 stay exactly as they are.

Most businesses are fully live within two weeks of the audit.

You keep the Automation Blueprint. Take it to your own IT person or put it on the shelf. It is yours regardless.

Because that person's time is worth more than data entry. Automating the repetitive parts frees your team to handle the jobs that actually need a human.

simPRO holds your data. It does not act on it. The follow-up email, the emergency dispatch, the voice report conversion - those still need a person to trigger them today. After we build, they run on their own.

If the problem sounds familiar, it is worth a conversation.

We work with a small number of field service businesses at a time. Each project gets our full attention from audit to handover.
